Tasks for Start of Fall 97 Classes

I have identified these tasks as needing completion before September 2 for smooth start of classes:

- Jim King

General overview of tasks with which ANS can help:

These are tasks identified by ITOG in June:

The CD-ROM based reference system in the LRC needs to be made operational.

ANS will soon not be here to support our networks. Staff need to work intensively with ANS to prepare for managing our own network infrastructure and configuring the Novell local area network ourselves

IS staff will need training in managing the new Windows 95 and Novell 4.1 software and user accounts.

Instructional software in all divisions and departments will need to be moved from the Windows 3.1 to Windows 95 environment.

Instructions for faculty, staff, and students will need to be prepared before the start of classes in September.

Office computers will be converted to Windows 95, with training for users.

Detail of Instructional Tasks

I identified these tasks in conjunction with the Windows 95 Transition Team and other IS staff during the week of August 18-22. I have tried to articulate the principles, procedures, and unresolved issues for each task area, and note who may be responsible.

Specific tasks for opening of Fall Term instruction: Responsible

Student and faculty accounts

 Principles

    • Each student has his/her own account

    • Do we start with all classes or just certain ones?

TOT/Baladin
    • Do we include non-credit classes?

TOT/Baladin

 Procedures

    • UImport scripting

Fedders
    • Transfer data from "mainframe" to Netframe

Baladin, Dignan
    • Testing selected accounts

Academic faculty & staff

 Unresolved issues

    • Who is responsible for doing anything

TOT/Baladin
    • What type of contingency accounts to have

Win95 Team/Baladin
    • Faculty requested traditional "class accounts"

    • Baladin prefers temporary personal accounts

    • Faculty management accounts

    • how created

Fedders/Lawrence/Baladin
    • who creates

TOT/Baladin
    • what rights

Win95/Faculty
    • Access

    • To accounts from off campus

TOT/Baladin
    • From Macintosh computers

TOT/IS/Technology Div
    • From CAD, GDT, IT, and other labs

TOT/IS/Technology Div
    • To Orchard from on campus

Fedders/Lawrence/Baladin
    • Help and account maintenance

    • How are students and faculty notified when accounts are ready?

Baladin
    • Who provides ongoing support?

TOT

 How to run software

 Principles

    • All software will be accessed only through Netware Application Launcher (NAL)

    • Configuration of software will be tested and signed off by faculty or staff in the academic department for which the software is installed

 Procedure

    • Software installed on a "clean" stand-alone workstation

ANS/Network Svcs
    • NAL installs the configuration on the network server

ANS/Network Svcs
    • Problems arise and must be dealt with on an ad-hoc basis

Network Svcs
    • Initial problems are resolved by the installer

ANS/Network Svcs
    • Testing is carried out by the user department requesting the installation

Acad Depts
    • Installer adjusts the installation until user signs off

ANS/Network Svcs

 Unresolved issues

    • What to do when procedures are not followed?

TOT
    • When is a WCC staff member "trained" to install software?

Network Svcs
    • How is ongoing support provided?

Network Svcs
    • How are new applications added?

Network Svcs
    • Can we use alternative (non-NAL) network access methods?

ANS/ Network Svcs
    • Who is in charge of making policy decisions?

TOT decides

 Access to data

 Principles (hitherto unarticulated)

TOT approves/modifies
    • Instructional data is "owned" by Department and maintenance delegated to faculty and staff

    • Data is accessible only to students in a given class, determined by group membership, unless access is widened by the data owner

    • Department chair is responsible determining who has maintenance duties. Data may be maintained by department staff or with help from IS staff, at the option of the department

 Procedure

    • File structure is set up on the Netframe so that each Dept has its own area

Network Svcs

    • Department chairs are each given an account with full access and supervisory rights over their directory area

Network Svcs
    • Chairs and/or staff designated by chairs are given training on how to administer instructional data space, e.g. set up directories, assign access rights, load data, and maintain security

Network Svcs
    • Dept chairs are also given forms to request services from IS

Network Svcs

 Unresolved issues

    • What exactly is the directory structure to use?

Network Svcs/ANS
    • Who will create a directory for each department?

Network Svcs
    • Who in IS is responsible for helping Depts maintain their data space?

Network Svcs

 Training

 Principles

    • Technical experts (e.g. ANS) need to train WCC technical staff

    • WCC technical staff need to train non-technical staff

 Procedure

    • Documentation is prepared giving overview and specific objectives, step-by-step instructions, and error-recovery details

    • Experts demonstrate a procedure

    • Trainees do the same procedure under supervision

    • Trainees repeat the procedure independently with help immediately available

    • When level of confidence is sufficient, experts and tech staff "sign off"

 Training and documentation needed for:

    • Installing & debugging using NAL

ANS - Network Svcs
    • Preparing uimport control file from SIS

Baladin - Dignan
    • Using uimport to create accounts

Fedders - Network Svcs
    • How to administer instructional data space on Novell (e.g. set up directories, assign access rights, load data, and maintain security)

Network Svcs - Academic depts
    • Logging in as a student, downloading instructional data, and using apps

Network Svcs - Academic staff, LRC staff

Faculty - students

LRC staff- students

    • Using temporary (class) accounts

Network Svcs - Academic staff

 Unresolved issues:

    • When will training be provided?

    • Which individuals within each organization will provide it?
